What can a small team hand to AI agents?
It depends on how much of the work is the same each time. Hand over work with a clear script and a clear end: first replies to enquiries, booking and rescheduling, chasing a quote that went quiet, turning notes into a draft. Keep the work where the customer is buying your judgement: the advice, the price, the difficult conversation, the decision to say no. An agent that does the first set well gives a team of five back the hours it spent on it. An agent that tries the second set loses you customers.
Hours, not headcount
When a small firm tells us it needs more people, the next sentence tends to be about hours. Enquiries that come in at 9pm. Quotes nobody had time to chase. A booking diary that lives in one person's head.
Those are problems of hours, and an agent works the hours you do not. It answers at 9pm, logs the enquiry, and the named person picks it up in the morning with the context already written down.
That is how Rayna Local works for trades and local services. The agents answer enquiries, follow up quotes and run bookings, and each client has a named person to call. We run our own business on the same agents, so we find the problems before a client does.
Our own agent is an example
Rayna, our first-line agent, answers questions on rainshift.ai. She answers from that site's own words, so what she says matches what the pages say. When a question needs a person, she hands it over with your question attached. Ask Rayna a question and you will see the hand-over for yourself.
Three rules for a first agent
- One task, written down. If you cannot write the task as a short script for a new starter, an agent cannot follow it either.
- A named person behind it. Every agent we run has a person a customer can reach, and the agent says who.
- A weekly read of the log. Fifteen minutes on a Friday, reading what the agent did. It costs a quarter of an hour and catches a problem while it is still small.
What to keep
Keep the parts of the work that make you worth hiring. For a builder, that is the survey and the price. For a consultancy, it is the advice. For a team like ours, it is the scope workshop and the call where a client tells us what is going wrong.
Lean is not the same as alone. The aim is a small team that spends its hours on the work only it can do, with agents doing the rest in the background and a person always one step away.
Before an agent goes live, start with one real job and draw the line between AI and people.
